In an effort to assist those students who are called to active duty, the campus has established the following policy.</p><p>Students who are called into active military duty during the course of an academic term, including the National Guard and Reserve active duty, will receive refunds and course credits as follows:</p><p><strong>Departure during the first fifteen calendar days after classes have begun for the term:</strong></p><ul><li>Grades and Credit: No course credit or grades will be given.</li><li>Registration will be shown on UIS records but not on transcripts. Pursuant to normal University policy, students who withdraw from courses do not receive course credit.</li><li><strong>Charges:</strong>&nbsp;Tuition, fees, and student health insurance premium will be refunded in full. Applicable housing charges including cancellation fees will be waived and refunded.</li></ul><p><strong>Departure after the fifteenth day but before mid-term:</strong></p><ul><li>Grades and Credit: No course credit or grades will be given.</li><li>Registration will be shown on UIS records but not on transcripts. Pursuant to normal University policy, students who withdraw from courses do not receive course credit.</li><li><strong>Charges:&nbsp;</strong>Tuition and fees will be refunded in full. The refund of student health insurance premiums will be determined by the insurance company.</li></ul><p><strong>Departure after mid-term through the twelfth week of the semester:</strong></p><p>Grades and Credit: Students will either be withdrawn or take an incomplete in all courses in progress at the time of departure as follows:</p><ul><li>Prior to departure, the student may withdraw from all courses. No course credit or grades will be given. Pursuant to normal University policy, students who withdraw from courses do not receive course credit.</li><li>Prior to departure, the student may take an incomplete for all courses. An incomplete due to military call-up (DFR grade) will appear on the student’s records and academic transcript. The student must complete the course by the end of the second semester after the return from active duty.</li><li>If the student does not make a decision prior to departure, all courses will be recorded as incomplete. Upon return from active duty the student must either withdraw from all courses or complete the courses by the end of the second semester after the return from active duty.</li><li><strong>Charges:</strong>&nbsp;For students who withdraw, tuition and fees will be refunded in full. For students who take an incomplete for all courses, tuition and fees will not be refunded. Applicable housing charges including cancellation fees will be waived and refunded. The refund of student health insurance premium will be determined by the insurance company.</li></ul><p><strong>Departure after the twelfth week through the end of the semester:</strong></p><p>Grades, Credit and Charges: Students will have the option to do the following:</p><ul><li>Withdraw with a full refund of tuition and fees</li><li>Take an incomplete</li><li>Receive credit for the course.</li></ul><p>Credit for&nbsp;<strong>undergraduate</strong>&nbsp;students may take the form of a letter grade or grade of CR for each course in which they have attained a grade of C or better at the time of withdrawal, as determined by the faculty member.</p><p>Credit for&nbsp;<strong>graduate&nbsp;</strong>students may take the form of a letter grade or grade of CR for each course in which they have attained a grade of B or better at the time of withdrawal, as determined by the faculty member.</p><h2><strong>Additional Notes</strong></h2><ol><li>Students receiving financial aid will have tuition and housing refunds applied to the financial aid programs from which funds were awarded according to guidelines established by federal and state financial aid regulations. Students should consult with Financial Assistance concerning the impact of military call-up on financial aid conditions and eligibility.</li><li>Students enrolled in irregular term courses will be treated in a manner consistent with the policies outlined above.</li><li>Students who are called to active duty will not be subject to Financial Assistance and/or academic satisfactory progress standards for the withdrawal term.</li><li>Textbooks in good condition which were purchased during the semester in which call-up occurs will be repurchased prior to departure by the Bookstore at the prices paid by the student.</li><li>Students called to active duty may receive a full refund on parking hang tags if the hang tag is presented to Parking Operations prior to departure.</li><li>Appeals of actions under this policy may be filed with the Registrar. Enlisted persons currently serving and company grade officers are eligible. Time served in other branches of the U.S. Armed forces does not count toward this requirement. The application can be obtained from the ISAC web site at www.collegezone.com and from your unit. You may also obtain this form in the Office of Financial Assistance. The applicant must apply to the Illinois Student Assistance Commission (ISAC) for these educational benefits and must supply all requested information. In order to receive benefits, your application must be submitted by the deadline dates listed below. Applications are renewed each academic year, which begins with the fall term and concludes the following summer term. No payments will be made on behalf of any eligible student unless a current application is on file. Any member of the Illinois National Guard or a Reserve component of the Armed Forces of the United States who meets the eligibility requirements is considered a qualified applicant for the IVG Program. Qualified applicants are encouraged to submit an IVG Program application if they anticipate attending college at any point in the future. The UIS Military/Veterans Emergency Grant was created to help prevent emergencies and unforeseen events from inhibiting student veterans’ academic progress.</p> <p>The awarding of this grant money is not competitive. Applications will be reviewed in the order they are received. (Many commands require a special request chit to proceed.)</p> <p>Step 2: Complete Required Training<br>Sailors are required to complete two training topics before being eligible to apply for TA: the Navy Tuition Assistance training IMI (updated October 2017; replaces the previous WebTA Policy and Procedures course) AND the Navy Virtual Counseling 101 training IMI in My Education . These courses are required once per lifetime/service term.</p> <p><strong>Note</strong>: Sailors who have already completed the WebTA Policy and Procedures course will not need to complete the new Navy Tuition Assistance training. Sailors who have already completed the Higher Education Preparation (HEP) course will not need to complete the Navy Virtual Counseling 101 course. HEP completion certificates will continue to be accepted until 01 January 2018. Please upload your completion certificate in the My Education Module. </p> <p>Complete the training using the My Education Module. Once completed, the results are recorded immediately in your My Education record. Retain the completion certificate for your records.</p> <p>Complete the TA Policy and Procedures Training using the Navy College Program Mobile App (Android App, iTunes App). Once done, the results are documented within 24-48 hours in your My Education record. Retain the completion certificate for your records.<br>Note - IMI Training/IE Issues: Tuition Assistance (TA) and Virtual Counseling Training IMIs will not launch when using Internet Explorer (IE) and Virtual Counseling IMI freezes up. Refer to IMI Training and IE Issues 11 Dec 2017 and IE Settings PPT for guidance.</p> <p>Step 3: Receive Education Counseling, Establish an Education Plan<br>Your Navy College Education Counselor is there to help guide you through the process of selecting a pathway to reach your personal and professional goals. The counselor will help you establish an education plan to advance your personal and professional journey. Contact a Navy College Education Counselor. For more information on developing your education plan, see the VOLED Step 3 – Research, Select a School, &amp; Develop a Plan on this site.</p> <p>Step 4: Submit Education Plan, Review with Counselor<br>Upload your education/degree plan on the My Education Module under "My Education Plan." When uploading the file, use the school name for "File Name" and the degree and major for “Description.” Contact the NCVEC after you upload your education/degree plan for a plan review and record update.</p> <p>Step 5: Submit WebTA Application at My Education Module<br>Once your record has been updated, submit your WebTA application using the My Education module. Per NAVADMIN 219/16, all WebTA applications must be submitted and command approved no later than 14 days prior to your term start date. On our home page, there is an article, entitled "Navy's Tuition Assistance Command Approval TimeLine" that provides a sample calendar to assist you. Submitting your WebTA application early allows sufficient time to resolve issues and to review and authorize your TA funding in a timely manner.</p> <p>Step 6: Generate Voucher and Send to Institution<br>After your command approves and the NCVEC authorizes your WebTA application, a voucher is generated. All generated vouchers can be found under “Existing Applications” in the My Education module.
